These terms govern the use of the Mapping Events website as well as service requests made to our team. They describe the general rules applicable to our video mapping services for private events and partner venues.
2. Services offered
Mapping Events designs and installs custom visual experiences for private parties, receptions, hotels, castles, bars, wedding planners, and other event venues. Depending on the accepted quote, the service may include show creation, installation, mapping, technical support, and teardown.
3. Quote requests
Any request sent through the website, by phone, or by email is free and non-binding. The prices shown on the website, including the “from €4,500 excl. VAT” mention, are indicative. The final amount depends on the venue, technical constraints, customization level, dates, and logistics required.
4. Service validation
A service is confirmed only after written acceptance of a custom quote. Where applicable, booking a date may require signing the quote and paying a deposit. Payment terms are set out in the contractual document provided to the client.
5. Client obligations
The client agrees to provide accurate information about the event, the venue, access, schedules, technical constraints, and required authorizations. Unless otherwise stated, the client remains responsible for venue-related permissions, space occupation, and the overall event organization.
6. Technical conditions
The performance of a service depends on the technical feasibility of the venue: power supply, available throw distance, safety, weather, brightness, mapping surfaces, and access conditions. Mapping Events may adapt the planned setup to ensure safety, output quality, and successful delivery.
7. Cancellation and postponement
The terms for cancellation, postponement, or modification are defined in the accepted quote. In the event of cancellation or a date change, costs already incurred for preparation, creation, equipment reservation, or crew mobilization may remain payable.
8. Intellectual property
Concepts, visual creations, animations, files, technical methods, and materials produced by Mapping Events remain its property unless otherwise stated in the quote. The client only receives the rights necessary to use the service for the relevant event.
9. Images and communication
With the client’s consent, Mapping Events may use photos or videos of the service for portfolio, sales, or communications purposes. The client may object in writing before the event.
10. Liability
Mapping Events uses the means necessary to deliver the service properly. It cannot be held liable in case of force majeure, inaccurate information provided by the client, venue restrictions, missing authorizations, external failures, or third-party intervention. Any liability is limited to proven direct damages.
11. Personal data
Information submitted through the website is used only to respond to requests, prepare quotes, and handle sales follow-up. Forms may be processed by Formspree and protected by Google reCAPTCHA to reduce automated submissions. 12. Governing law
These terms are governed by French law. In the event of a dispute, the parties will first seek an amicable solution before any further action.
